Send the advance — the booking form.
If a tour is rolling through the Southeast, the way to start is here. The form below asks for the documents we need to bid the work. The dispatch card on the right has the shop address, the hours, and the on-call line. We answer within four working hours.
What we need from you
Below is the minimum advance document set. We will bid blind against the form, but a full bid requires all four documents.
- Stage plot — Vectorworks or PDF. Every fixture, every motor, every audio pickup, every console.
- Rider — production rider with the technical specs (fixture pack, audio rig, motor count, console choice).
- Gauge plan — proposed feeder size and termination type at the venue. If you don’t have one, send the rider and we’ll write it.
- Load-in window — the actual load-in time agreed with the venue, plus any constraints (truck stage, freight elevator slots, IATSE call window).
What happens next
- T+0: form submission. Auto-confirmation email with provisional PRD reference.
- T+4 hrs (working hours): dispatch reply with our questions and a tentative quote.
- T+1–3 days: walk-through with the AHJ at the venue scheduled (if venue is new to us) or confirmed (if venue is one we work regularly).
- T+5–10 days: signed contract; cable manifest issued; truck staged.
- T-3 to T-0 days: load-in. Megger / phase-rotate / GFCI cycle at tie-in. Show goes.
For shows already loaded-in: the 24-hour on-call line is the way. 615 · 555 · 0418; we answer within 45 minutes.
A note on hours
The form and the email queue are read during weekday business hours (08:00–18:00 CDT). The on-call line is read 24 hours, but please reserve it for shows in load-in or in performance — for booking inquiries the form gets you a better answer faster, because the on-call hand doesn’t have the binder in front of them.
